Responsibilities include: reporting to the Director of Educational Initiatives, the Program Coordinator for the Experimentory provides administrative support for the Experimentory at Deerfield Academy Summer Program. The Experimentory is an intense 4 week program designed to give students from around the world a taste of life at a boarding school while encouraging their creativity and pushing intellectual boundaries. This position is expected to work part time year round with increased hours during the months of June and July and minimal hours in August. Manage drafting, completing, and sending office communications ensuring timely and effective information is distributed to prospective, enrolled, and current/attending students and their parents about the summer program; manage online presence and all social media for the summer program including the program website, program blogs, Facebook, Twitter, Instagram, YouTube, and Flickr; operate summer program software systems (Rediker Admissions Plus, Hubspot, Google Forms, Excel, internal resources, etc.) to effectively track and report data for applications, communications, and marketing; create, distribute, coordinate, track, and report data from all summer program forms including enrollment, medical, travel, and billing in a timely and efficient manner; support the Program Director in making admission decisions, including application preparation, evaluation, and enrollment; support our summer Health and Wellness Center staff by completing an initial review of incoming student and staff health forms and working with families to receiving outstanding requirements; assist with pre-program planning meetings to prepare for staffing, selection, and enrollment, including creating detailed meeting notes and deliverables thereby ensuring thorough and timely program preparation; assist with the timely recruiting and hiring of Summer Program employees to create a strong and effective teaching team and support system, including posting jobs, collecting applicant materials, participating in some interviews, and checking references; assist in complying with all state and school requirements for summer programs to effectively manage risk; assist with teacher/staff orientation and team formation prior to the program; participate in program debrief meetings to ensure future program enhancements; coordinate office supplies and needs for staff prior to and during the program; orient, oversee, and edit the contributions of summer employees assisting with program social media during the summer; manage the capturing, preservation, and organization of student work and experiences in pictures, video, and audio recordings for sharing with families during the program and for use in social medial promotion during the year; cooperate and coordinate with other Deerfield Academy Summer Programs; and work collaboratively with Summer Program Coordinator and when needed service as their back up.
Qualifications include: Associates Degree or equivalent; demonstrated excellence in communicating on the telephone, in person, and in writing; strong interpersonal and organizational skills, with a strong attention to detail; ability to interact effectively and graciously with many different people; excellent office, social media, marketing, and technology skills; ability to take initiative, and to multi-task independently and effectively; ability to handle confidential information; demonstrated commitment to diversity and inclusion and to serving the needs of a diverse community
