Reporting to the Director of Alumni & Parent Engagement, the Administrative Assistant provides comprehensive administrative support to the Alumni Relations team to ensure success in all Alumni Relations programming.
Primary duties and responsibilities include: assisting in the preparation, organization and coordination of all Alumni Relations off-campus and major on-campus events, including invitations, vendor hiring and contract processing, online registrations, expense tracking, yearly statistics, production of programs and nametags; taking accurate meeting minutes and maintaining information for online and print information; coordinating and creating communications, 50th Reunion yearbooks, Reunion programs and lodging; generating database extractions, reports, spreadsheets and correspondence for the team; tracking income, expenses and attendance to inform planning and forecasting; processing event invoices and deposits; assisting alumni and visitors; managing inventory.
The successful candidate will have completed 12th grade or the equivalent, with a working knowledge of Advancement or similar work-related industry preferred. Other requirements include excellent verbal and written communication and organizational skills with exceptional attention to detail, proficiency with MS Office Suite, data entry, and with integrated databases, an ability to maintain complex and detailed time schedules, an ability to work independently and as part of a team, and a high level of integrity and a strong work ethic.
