Deerfield Academy’s OneCard is used by Students, Employees, Alumni and Friends. Cards are used for identification; access control; and purchases at on-campus stores, cafes and grills. Below are the answers to Frequently Asked Questions:

Q: I am a new Employee and don’t yet have a card

A: All employees must provide a headshot photo for their Employee ID/OneCard. Employees must be in front of a white background, and photos must be of the employee’s shoulders and head and be in jpg format. The employee’s face must be visible (i.e. no hats or sunglasses). Please email photos to the Finance Office at finance@deerfield.edu. Please try to send your photo ahead of your orientation so we can have it ready for you when you arrive. This photo will display on your OneCard and on DAinfo.

Q: I am a new Student and don’t yet have a card

A: If you uploaded your photo to DAinfo by 8/24, a card will have already been printed for you and will be in your registration packet. If you uploaded your photo to DAinfo after 8/24 the finance office will let you know when and where to pick up your printed card. If you did not upload your photo to DAinfo, please do so and notify the finance office at finance@deerfield.edu. You will be notified informing you when and where to pick up your card once processed and printed.

Q: I am a returning student, will my card work from last year work?

A: No, if you uploaded your photo via DAinfo by 8/24 a new card will have already have been printed for you and will be in your packet If you uploaded your photo to DAinfo after 8/24, the finance office will let you know when and where to pick up your printed card. Q: How do I use my card for “Follow Me” Printing?

A: A feature available with the card is “Follow Me” printing, which gives us the ability to securely print & scan to our printers (aka MFDs) on campus without having to log in manually. All of the public MFDs, as well as some individual department MFDs, have been added as “Follow Me” printers.

When you’re ready to print, simply choose either the Black&White or Color “Follow Me” printer. Then, walk up to any of the registered MFDs, wave your card at the card reader, and your job will print. You can also use your card for scanning to email or scanning to the network. Just wave your card to login.

Q: How do I deposit money on my card, or on my child’s card?

A: Go to the Deerfield OneCard portal where you can make a deposit using your personal debit card, credit card, or echeck.

To get to the Deerfield OneCard portal please log into DAinfo. Select MyActions. On the MyActions Menu, select OneCard Account. Click on ADD CASH, and follow the on-screen instructions. You may also view your account balance and recent transactions by selecting the Financial tab.

PLEASE NOTE: if you are the parent of a Deerfield student, you will see your child(ren)’s name listed just below the link to your OneCard Account. Click on your child’s name to access their OneCard portal page to deposit money on their card.

Q: How do I make purchases with my card?

A: Once you have deposited funds on your OneCard, you can use it to make purchases at various campus locations and at certain Academy events. The card uses “proximity” technology, and Point-of-Sales (POS) terminals and mobile pay tablets utilize TAP card readers. Simply tap your card on the reader and the purchase amount will be deducted from your OneCard account.

Q: How do I use my card as a door key?

A: Every dorm, the Fitness Center, the Boyden Library staff entrances, and the pool have new “proximity” door locks. These are TAP locks, not SWIPE locks. Simply hold your card up to the reader and the door will unlock. You don’t even need to remove it from your wallet or phone pouch! If you have trouble unlocking a door that you think you should have access to, please contact Tony Kenney at extension 1883. Please remember that Academy policy prohibits us from propping-open any locked door!

Q: What buildings can I access with my card?

A: Building access is determined by the role of the card holder. All students will have access to the dorm they are assigned too. Depending upon an employee’s role and responsibilities, this card may provide access to dormitories and/or the Academy’s fitness center.

Q: What do I do if my card is lost or stolen?

A: Your card is now a door key! It is crucial that you report your lost or stolen card to Security at 413-772-9880 as soon as you realize that it is missing. You can also log onto the OneCard portal to disable your card. To get to the Deerfield OneCard portal please log into DAinfo. Select MyActions. On the MyActions Menu, select OneCard Account. This function can be found under Account/Deactivate Card. Visit Security or the Finance Office to obtain a replacement card. As always, you can contact Security if you need to be let into a building.

Q: How do I carry my card?

A: The new OneCard contains chip and wire technology that will not work if perforated. Please do not punch a hole in your card! It will be rendered in-operable. You may choose to put your phone in a clear pouch attached to a lanyard or keychain. Or, you may want to keep it in a pouch that sticks to the back of your phone. The Academy will provide one of these adhesive pouches to each new student. They are also available for purchase at Hitchcock House.
