Digital Video and Still Camera Loan Policy

ITS maintains a stable of digital video and digital still cameras and related peripherals for use by members of the Deerfield Academy Community.  Some of these cameras are set aside for specific classes (e.g., Digital Video, Digital Photography) and athletics.  The others are available for loan to any member of the community on a first come, first serve basis.  The following Loan Policy, whether for a specific class or individual use, will govern all loans.

Course Loans

Cameras will be set aside at the start of each term for the classes that need cameras on a daily basis.  These cameras will be available for pick up by the students during the first week of the class and must be returned by the students on the last day of class.

Cameras and related peripherals will be loaned out on a one-to-one basis (i.e., one camera per person).  Students signed a document over the summer indicating that they understand they are responsible for the care and return of the equipment signed out to them.  Any student returning a broken piece of equipment or not returning the equipment will be charged for its repair or replacement.

  • Students will receive a reminder from ITS one (1) week prior to the equipment due date.
  • Students will receive a reminder from ITS when the equipment is one (1) day late.
  • A Heads Up will be sent after the equipment is three (3) days late.
  • Students will be referred to the Dean’s Office if equipment is more than one (1) week late.

Cameras for a class will not be signed out to a faculty member for distribution.

All Other Loans

Cameras not set aside for courses or other special projects will be available from the ITS Help Desk on a first come, first serve basis to all members of the Deerfield Community.  Cameras will be available for three (3) day loans; longer loan periods must be approved by the Academic Technology Coordinator.

Special Projects: Students who are working on special projects and need a longer loan period must get approval from the faculty member overseeing the project.  The faculty member approving the project must send an e-mail to the Academic Technology Coordinator indicating their approval before ITS can proceed with setting a loan period and signing out the equipment.  Special Projects are academic in nature.

Class Projects: Faculty who are planning major projects that require still or video cameras are encouraged to contact the Academic Technology Coordinator in advance to reserve cameras for their students’ use.  Cameras will not be signed out to faculty for distribution.  Students will borrow from a reserved set of cameras as agreed upon by the faculty and ITS.  If the camera is being used for a group class project, a camera may be signed out to the group.  In these cases, all members of the group share equal responsibility for the equipment and, if applicable, its repair or replacement.  Faculty are asked to submit a list of students in each group so that cameras can be distributed appropriately.
