Scheduling Events: Students

Students!  It takes just two easy steps to  add Group and Club events to the calendar, however, if your event requires catering, involves third parties from off-campus, or requires the the use of a reserved space (e.g. large aud, classrooms, memorial lobby, etc.), please follow this more detailed Academy Calendar Request procedure.
  1. Check the calendar and review events and meetings that have already been scheduled.  If your event/meeting is at the same time as another event, you’ll need to consider whether the conflict will affect attendance or otherwise inconvenience students and faculty.  Please also check the location of your event and make sure the space is available.
  2. Submit your request through the form below.  If your event is approved, it will be posted on the calendar within a few days.
Use this form to add Student Group and Club events to the calendar.
  • For example: "Diversity Alliance Meeting" or "Koch Friday Concert". Please avoid ALLCAPS unless you are using an acronym. And avoid acronyms/abbreviations unless things are really long!
  • You can include a description of the event here if you like. Feel free to provide weblinks, provide details about refreshments, who can attend, etc. Please provide information on who should be contacted if someone has questions. Here's a good example:

    The Deerfield Gay-Straight Alliance meets on the first and third Wednesday of every month to discuss equality and tolerance, as well as current events. The GSA provides resources and an outlet for anyone to voice their opinions or questions to an open and accepting group of people. Contact Emma Beck at ebeck@deerfield.edu for more information.
  • Where is the event being held? If the room has a number, please use it!
  • If it's a recurring event, choose the first date it occurs.
  • What time does the event START. Please be specific--down to the five minutes. (e.g. "after dinner is 6:45pm, not 7pm).

  • If this event is recurring, please describe the pattern. (e.g. "every two weeks" or "the first tuesday of every month" or "always on the 15th of the month"
